Guidelines on the Handling of Personal Information
I. Personal Information Protection Policy
Yokohama Techno Tower Hotel (hereinafter, "the Company") declares that, in order to ensure the appropriate handling of personal information used in the course of its business, the Company will comply with the laws, regulations, and other standards relating to the protection of personal information, and will establish, implement, and maintain its own internal framework and rules.
- In order to put this declaration into practice, the Company shall establish internal regulations on the protection of personal information, make them known to and observed by the Company's personnel (including officers, employees under an employment relationship, and dispatched workers) and other relevant parties, and shall continually improve and maintain these regulations.
- To prevent loss, damage, alteration, leakage, or other compromise of personal information, the Company shall establish internal regulations on the security management of information systems and shall implement appropriate information-security measures, including countermeasures against unauthorized access and computer viruses.
- The Company's basic principles for the protection of personal information are as follows.
- (1) Prohibition of improper collection
When collecting personal information, the Company shall do so by lawful and fair means, and prohibits collection by improper methods.
- (2) Prohibition of use beyond stated purposes
The Company shall handle personal information only within the scope of the stated purposes of use, and prohibits any use beyond that scope.
- (3) Ensuring security
When handling personal information, the Company shall give due attention to security management and prohibits input, output, storage, transport, transmission, or disposal of personal information in any state where security cannot be ensured.
- (4) Prohibition of disclosure to third parties
The Company prohibits the provision of personal information to third parties without the consent of the individual concerned, beyond the scope permitted by law.
When entrusting personal information to a third party in connection with the outsourcing of business operations, or when jointly using personal information with a third party, the Company shall conclude the necessary contract with said third party and shall take other measures required by law.
- (5) Respect for the rights of the individual
The Company recognizes that the individual who is the subject of personal information has the right to request disclosure, correction, suspension of use, and so on with regard to his or her own personal information, and shall respond to such requests from the individual in accordance with the procedures set forth by laws and regulations.
II. Matters Regarding Acquisition
When the Company acquires personal information, it shall clearly state the purpose of use, obtain the customer's consent, and acquire the information by lawful and fair means within the scope necessary to achieve the purpose of use stated in advance. If it becomes necessary to use the information beyond the stated purpose, the Company will notify the customer to that effect and obtain the customer's consent.
In addition, the Company does not sell products or services directed at children, and the Company does not knowingly collect personal information from children. For individuals under 18 years of age, the Company will handle personal information only after obtaining consent from a parent or guardian in addition to confirming and obtaining the consent of the individual.
III. Matters Regarding Purpose of Use
The Company uses personal information that it has acquired for the following purposes.
- Providing services to customers
- Contacting customers for purposes such as confirming reservation details
- Providing information and confirmations related to the shipment of products, payment and settlement of charges, and other transactions
- Conducting information, advertising, promotion, and surveys regarding the operations and business of the Company and its affiliates
- Understanding usage of, and improving and developing, the facilities, products, and services of the Company and its affiliates
- Improving the Company's website and the Company's services and products
- Other operations incidental or related to the above purposes of use
- Responses based on laws and regulations or directives and guidance from administrative authorities
IV. Disclosure to Third Parties
The Company will not provide or disclose the personal information it holds to any third party without the consent of the individual customer, except where permitted by law.
V. Matters Regarding Outsourcing
When the Company outsources all or part of its operations within the scope necessary to achieve the purposes of use set forth in Section III, the Company shall appropriately manage and supervise its contractors, including by concluding contracts that cover confidentiality obligations and supervisory measures regarding personal information.
VI. Handling of Personal Information on the Company's Website
Personal information provided by customers on the Company's website is stored only as a record of the services applied for and is deleted after a certain period. As security measures, the Company takes the following steps.
- To ensure the security of personal information, the Company implements reasonable security measures—both administrative and technical—to prevent unauthorized access, loss, destruction, alteration, leakage, and similar incidents.
- The transmission and receipt of personal information between customers and the Company's website over the internet is protected by SSL (Secure Sockets Layer) encrypted communication.
- Information collection on the website
For information collection on the Company's website, the Company collects information using "cookies" (a technology that stores browsing history and similar data exchanged on the web in the customer's browser) as well as access logs of visits to the Company's website. In both cases, this information is used solely for statistical processing aimed at operating the website and improving services, and for investigating the causes of incidents such as unauthorized access; it will not be used for any other purpose. If you do not wish to accept cookies, you can refuse them by changing the settings of your internet browser.
